Full admin automation

Casual leasing admin automation: The paperwork runs itself, and chases itself

The platform creates and sends licence agreements for e-signing, raises invoices and handles insurance documentation. It then checks everything is in order and follows up where it is not. Insurance certificates are scanned automatically to extract the coverage amount, expiry date and policy number, so no one is squinting at PDFs. Customers are reminded automatically before their insurance expires.

  • Admin booking calendar - Create, edit or cancel on behalf of customers, with arrears and insurance expiry warnings.
  • Ongoing bookings - Generate weekly, four weekly or monthly invoices automatically, with agreement expiry reminders.
  • Invoiced debtors automatically chased. You also receive notification if not paid 6 days before commencement. Prefer card payment at booking? See payment options.
  • Automatic reminders. Customers are reminded if their licence is still unsigned as the start date approaches, and your team is reminded about booking requests still waiting for approval.
  • Every email tracked. Each email the platform sends is recorded, and any that fail to send are retried automatically.
Get paid your way

Card payment at booking through Stripe, or invoice: Each owner chooses

Owners decide how bookings are paid. Take card payment through Stripe when the booking is made, issue an invoice, or offer both.

Paid at booking

Card payment through Stripe

  • Paid in full the moment the booking is made. The income is secured before the casual lessee arrives.
  • No debtors to chase.
  • Refunds on cancellation are handled through the platform.
  • Secure card processing by Stripe.
Fully automated

Invoice payment

  • Invoice raised and sent automatically with each booking.
  • Automatic payment reminders sent to the casual lessee.
  • You are notified if a booking is still unpaid 6 days before it starts.
  • Aged debtors report at 30, 60 and 90 plus days, exportable to Excel.

Set it per owner, so casual leasing runs the way each owner prefers.

Recorded on the platform using demo data.
AI reporting assistant

Detailed reporting in seconds: just ask in plain English

Ask questions such as "How much do we have in future bookings", "show me which centres are below budget" or "how are we performing against budget", and get the answer in seconds. A detailed monthly report is produced in one second. Budget and performance reports are automated and always available. The assistant, called Caz on the platform, also answers questions on occupancy, forward bookings, pricing, unmet customer demand, top customers and categories, insurance status and centre setup, and points your team to the right screen when they need to act.

  • Pricing and demand on request. Ask "which sites should we raise prices on?" or "what are customers searching for that we can't supply?" and get an answer from your own data.
  • Weekly Insights Report. Every Monday morning, the people you choose receive a short email covering unpaid bookings starting soon, expiring insurance, big changes in income, pricing suggestions and unmet demand. No need to ask.
  • Portfolio dashboard. Year to date revenue, monthly performance, top sites, booked days, year on year comparisons and budget progress on one screen, not six spreadsheets.
  • Aged debtors report at 30, 60 and 90 plus days by centre and by customer, exportable to Excel.
  • Financial reporting built for accountants. Revenue by centre, GST for BAS and owner payments, exported to Excel.
  • Client-ready Monthly Performance Report. A polished monthly report for owners and head office, produced in one second.
  • Download any answer to Excel. Every report Caz gives you can be downloaded as an Excel spreadsheet in one click.
  • Insurance status at a glance. Ask Caz whose public liability insurance is current, expiring or missing, and download the list to Excel.

Questions

Casual leasing platform FAQs

What is a casual leasing platform?

A casual leasing platform, also called casual mall leasing software, is software that lets shopping centres market, book, license, invoice and report on short term sites such as casual leasing sites, short term vacant shops, pop up shops, kiosks, third line ancillary income such as vending machines and promotional spaces. MALLincome replaces phone and email enquiries with 1 click online search and booking, and automates the licence agreements, insurance checks, invoices and reporting behind each booking.

What makes MALLincome an AI casual leasing platform?

AI runs through both sides of the platform. Casual lessees search in plain English, typed or spoken, such as "four tables in Western Sydney the weekend before Mother's Day", and Lisa, the AI search assistant, returns matched sites. Administrators ask Caz, your AI admin assistant, questions such as "which centres are below budget" or "which sites should we raise prices on?" and get the answer in seconds. Every Monday, a Weekly Insights Report tells your team what needs attention. Insurance certificates are also scanned automatically.

Is MALLincome available as a white label casual leasing platform?

Yes. MALLincome is available as a white label casual leasing platform with your brand, logo, colours and domain, so casual lessees deal with your centres and your brand. It suits a single centre, a multi centre portfolio or a managing agency looking after several owners.

How long does it take to approve a casual leasing booking?

Total administration time is about one minute per booking, start to finish. Bookings that meet predefined rules can also be approved automatically.

Does MALLincome handle vacant shops and third line income?

Yes. Casual Leasing, Short Term Vacant Shops and Third Line Ancillary Income are each supported with their own agreements, and can be reported separately or combined.

How do casual lessees pay?

Each owner chooses how their casual lessees pay: by card through Stripe at the time of booking, by invoice, or both. With card payment the booking is paid in full when it is made, so there is nothing to chase. With invoice payment the invoice is issued automatically, debtors are followed up automatically and an aged debtors report is available at any time.

Can MALLincome manage pop up shop bookings?

Yes. Pop up shops are booked through MALLincome either as casual mall leasing sites on the centre floor, such as kiosks, carts and table sites, or as short term vacant shops. The pop up shop operator searches in plain English, books online, signs the licence agreement electronically and pays by card at the time of booking or by invoice, as the centre chooses.

Is MALLincome built for Australian shopping centres?

Yes. MALLincome was built in Australia by its founder, Stuart Hely, a shopping centre professional with more than 30 years of centre management and casual leasing experience, with GST and BAS reporting built in.

Is MALLincome specialty leasing software?

Yes. Casual leasing is called specialty leasing in the United States and some other markets. MALLincome is shopping centre casual leasing software, also known as specialty leasing software, covering shopping centre casual leasing sites, short term vacant shops, pop up shops, kiosks, third line ancillary income such as vending machines and promotional spaces, with online booking for casual lessees.

Can we bring our existing customers and income history across?

Yes. Your existing casual lessees can be brought across so they do not have to register again, and historical monthly income can be uploaded so year on year and year to date comparisons work from your first month.

Does MALLincome help with pricing and finding new demand?

Yes. Pricing Analytics suggests day rate increases or decreases for each casual leasing site based on its recent occupancy, and you can simply ask Caz which sites to reprice. Search Analytics shows what casual lessees are searching for, including searches that currently return nothing. When customers search where you have no space, they can register interest, and you receive their details to follow up.

Where is MALLincome data hosted?

Platform data is hosted in Australia, in Amazon Web Services’ Sydney region. Card payments are processed by Stripe.

Does MALLincome send reports automatically?

Yes. The Weekly Booking Report is emailed every Friday to your centre team and security, listing who is setting up, who is leaving and how many tables are needed the following week. The Weekly Insights Report is emailed every Monday morning to the people you choose, highlighting unpaid bookings starting soon, expiring insurance, significant changes in income, pricing suggestions and unmet demand. A client-ready Monthly Performance Report can be produced at any time.

Can casual lessees search for a site near a particular store?

Yes. A casual lessee can ask for a site near Coles, Woolworths, Kmart, Aldi, the food court or the main entrance, typed or spoken, and Lisa, the AI search assistant, shows the matching sites. Administrators can ask Caz the same kind of question.
